For offices / Shared library
One library for the office, on a drive you already have
There is no Sopycat server. Put the library folder in OneDrive, Dropbox or Google Drive, or on a network drive, point each PC at it, and the whole office works from the same manuals and documents.
How it works
A shared library is simply the library folder, kept somewhere every PC can reach. Each person's Sopycat opens that same folder.
- Shared: manuals, documents, folders, labels, Recently deleted, form profiles and the records of who read or did what.
- On each PC: settings, the person's name, saved signatures and stamps, and unsaved PDF edits.
- Each person sets their name once, in Settings › Name on Records; it is the name colleagues see.
Nobody quietly overwrites anybody
Sopycat leaves a note when someone opens an item for editing, and other computers check for it every 15 seconds.
- A banner names who is editing and on which computer, with Open read-only and Edit anyway.
- If two people save, the second save is stopped and nothing is lost: Reload theirs, or Keep yours as a copy.
- When a sync program keeps two copies, Compare and pick shows them side by side to choose, and keeps the other in earlier versions.
Readers and editors
- A people list on the Office plan marks each name Edits or Reads, so readers open every manual without changing it.
- A Your library page shows where the library lives, who uses it, who is editing now and what waits on confirmation.
The people list keeps people from changing a manual by accident. It is not a lock: anyone with the folder can change the list.
Questions
- Do we need a server for a shared library?
- No. There is no Sopycat server. The library is a folder, kept in OneDrive, Dropbox or Google Drive, or on a network drive, and each person's Sopycat opens that same folder.
- What stops two people overwriting each other?
- When someone is editing an item, everyone else sees who it is and on which computer, and can open it read-only. If two people save anyway, the second save is stopped with Reload theirs or Keep yours as a copy, so neither version is silently lost.
- Who can see the library?
- Whoever can open the folder. Sopycat adds no accounts of its own, so the folder's sharing settings in OneDrive, Dropbox, Google Drive or on your network decide who has it.
- What is shared, and what stays on each PC?
- Manuals, documents, folders, labels, Recently deleted and the records are shared. Each person's settings, name, saved signatures and unsaved PDF edits stay on their own PC.
- Which plan has the shared library?
- Every plan. Reading confirmations and training records on it need the Office plan.
