Procedure manuals for a law firm, with nothing on anyone else's server
Intake, e-filing, conflict checks, trust deposits, closing a matter: the steps the paralegal who left knew by heart. Record each one once, and keep every picture inside the firm.
Why a law firm picks Sopycat
No third party sees the screen
A recording of the matter system shows client names and privileged documents. Sopycat keeps it on the firm's own computers and drive; nothing is uploaded and there is no account.
Redaction that is checked
Mark a name or a number in a PDF and the words under the box are cut from the page, then the page is read again to check. Each redaction is logged beside the document.
The firm's library, with care
One library on the firm's drive. When a paralegal has a manual open, everyone else is told; two saves from two desks are never silently lost.
Recording a task at the firm
- Record on a demo matter where you can.
- After you stop, press Private details: every picture is read on the PC and anything after Client, Matter, Case number, Docket, Account or Address is listed with a box, to blur in one go.
- Bates-number a set of documents, redact with a verified check, and keep the audit log of who did what, all in the library folder.
- Give each manual a version, who approved it and the date it took effect; they print under the title on every copy.
- With the Office plan, list who edits and who reads: a reader opens every manual without editing.
Regulated-office mode
For firms that must say where data goes: no sharing a manual as a web page, updates held until the firm installs them, and a log of every view, edit, export, redaction and signature. Part of the Office plan.
Sign, stamp, number
Signatures, stamps, Bates numbering and filled forms in the same app as the manuals, on the same PC.
Straight answers
- Does Sopycat touch privileged material?
- Only on your computers. The app runs on the PC; Sopycat the company never receives a recording, a picture or a manual. Bar guidance on cloud tools asks for reasonable care in choosing providers; here there is no provider holding the data, and the security overview lists every network connection the app makes: a key check and an update check on their own, plus any download someone starts.
- What about screenshots that show a client's name?
- Record on a demo matter, and run the private-details check afterwards; it reads every picture and lists names, numbers and dates after the labels a matter system uses. Blur removes the pixels from the exported picture, so no export can bring them back; the untouched original stays in the library so a blur can be redone.
- Can we prove staff were trained?
- On the Office plan, each reading confirmation and each follow-along run is logged with a name and a date in the library folder, and saved as a spreadsheet. A manual that changes asks for confirmation again.
- Where does the library live?
- On a drive the firm already has: a network share, OneDrive, Dropbox or Google Drive. Sopycat needs no server of its own. Each PC is pointed at the folder in Settings.
